How to Import Self-Adhesive Film from China: MOQ, Samples, Terms

Importing self-adhesive film from China is a six-step process: send a specification, evaluate free samples, agree a quotation with a defined Incoterm, confirm with a proforma invoice and deposit, have the goods produced and inspected, then ship and clear customs. Stock items typically have an MOQ of 1 roll and ship in 7–10 days; customised products start at 100 rolls and take 15–25 days. The rest of this guide walks through each step with the numbers and documents you will need, whether you are buying wallpaper, heat transfer vinyl or TPU protection film.

Step 1: Write a specification the factory can quote

Self-adhesive film prices are driven by a handful of variables. The more of these you state up front, the faster and more accurate the quotation:

• Product type and end use (for example, 0.5 mm wood-grain furniture film; 8.5 mil TPU for countertops; PU HTV for sportswear).
• Thickness in micron, mm or mil, and total versus film-only if it matters.
• Width and length per roll (common trade sizes are 0.61 m × 50 m, 1.22 m × 50 m, 1.52 m × 15 m; retail sizes 0.45 m or 0.61 m × 3 m or 10 m).
• Adhesive type and finish (permanent or removable; glossy, matte, frosted, self-healing).
• Colour or pattern reference, including a Pantone number or a physical swatch.
• Packaging: bulk carton, individual shrink-wrap, printed retail box, private label.
• Quantity now and the expected annual volume.
• Destination port and preferred Incoterm.

Step 2: Samples and how to evaluate them

At Shanghai Mars, A4 samples of stock items are free, and full rolls are quoted at unit price and normally credited against the first order. Test them the way your customers will use them:

• Adhesion: apply to the real substrate (painted wall, laminate, glass, polyester fabric) and check after 24 hours and after 7 days.
• Removability: peel at 90 degrees after 7 days and look for residue or surface damage.
• Durability: run a wash test for HTV, a scratch and heat test for TPU, a moisture test for kitchen backsplash film.
• Consistency: compare colour and texture against the digital image and against a second sample from the same lot if possible.

Keep the labelled sample; it becomes your reference for the production lot.

Step 3: Understanding MOQ and lead time

MOQ is not a single number. It depends on whether you are buying from stock or asking for something the factory must set up production for.

Lead time counts from receipt of deposit and approval of artwork or colour proof, not from your first email. Add transit separately: sea freight to Europe or North America is typically 25–45 days port to port; air freight 5–10 days door to door.

Peak seasons matter. Chinese New Year (late January to February) closes factories for two to three weeks, and October’s National Day holiday for one week. Place orders for those periods four to six weeks early.

Step 4: Incoterms and what each one costs you

The Incoterm defines where the supplier’s responsibility ends and yours begins. The five most used for self-adhesive film are:

FOB gives the most control and usually the lowest total cost if you ship regularly. DDP is the simplest and gives a landed price to compare with a local supplier, but is only offered where the supplier’s forwarder has a reliable customs partner.

Step 5: Payment terms

Industry-typical terms for self-adhesive film are:

• T/T (telegraphic transfer): 30% deposit on confirmation of the proforma invoice, 70% balance against the bill of lading copy before release. This is the default for most orders.
• L/C at sight: for larger orders, usually above a container. Fees are higher but both sides are protected by the bank.
• Alibaba Trade Assurance: for smaller orders where you want platform escrow.
• Western Union or PayPal: for sample rolls and small first orders.

Confirm the beneficiary bank details by a second channel, such as a phone call, before sending any transfer; invoice-substitution fraud targets first-time importers in every industry.

Step 6: Production, inspection and documents

Once production is confirmed you should receive, in order:

1. Proforma invoice with product specification, quantity, unit price, Incoterm, payment terms and lead time.
2. Colour or artwork approval for custom items, usually a physical strike-off or a signed digital proof.
3. Production photos at the coating, slitting and packing stages.

5. Packing list with carton count, roll count per carton, net and gross weight, and cubic metres. You need this to book freight and to check the container when it arrives.
6. Shipping documents: commercial invoice, packing list, bill of lading or air waybill, certificate of origin, and any test reports your market requires.

For customs, most self-adhesive PVC and PU films fall under HS heading 3919 (self-adhesive plates, sheets, film of plastics); confirm the sub-heading and duty rate with your broker for your country.

Packing and container planning

Rolls are wound on 3-inch (76 mm) paper cores, wrapped in PE film and packed in cartons or kraft tubes, then palletised on ISPM 15 fumigated wood or plastic pallets. Rough loading guides, which vary with thickness:

• 20 ft container: about 900–1,200 rolls of 1.22 m × 50 m furniture film, or 8,000–10,000 retail rolls of 0.61 m × 3 m wallpaper.
• 40 ft high-cube: roughly double.
• LCL: quoted per cubic metre; a pallet of 60 trade rolls is about 1.5 m³.

Ask for the packing list before booking so the forwarder quotes on real figures.

Common mistakes on a first import

• Comparing quotations on different Incoterms. An EXW price from one factory and a CIF price from another are not comparable.
• Skipping the substrate test. A film that works on laminate may not work on textured paint; test on the real surface.
• Ordering custom before stock. Buy a small stock order first to check quality, then move to custom colours and private label; the OEM/ODM page explains what can be customised.
• Ignoring the holiday calendar. A 20-day lead time quoted in mid-January becomes 40 days.
• Not keeping a retained sample. Without a labelled reference, a colour dispute on the second order is your word against the factory’s.
